Orders tracked in one place
Univ Diam, a jewelry manufacturer and diamond aggregator, ran its entire order process through phone calls, emails and text messages. Nothing was centralised, so tracking a request meant reconstructing it from several inboxes. We built a custom platform with separate portals for internal staff and external retailers, taking a jewelry request from submission through CAD approval to manufacturing in one place.
Before
The challenge- Order requests arrived by phone, email, text and SMS with no single record
- No centralised way to track where a request had got to
- Managing orders end to end occupied the whole team
- Customer service was fragmented across channels
Communication was scattered across every channel a retailer might reach for, which made it difficult to track what had actually been asked for. Running an order end to end took the entire team's attention, causing delays and missed updates — and keeping the founder in day-to-day operations rather than on growth.
After
What we built- admin.univdiam.com — an internal portal for staff
- app.univdiam.com — a retailer-facing portal with structured request forms
- Order-specific chat, so every conversation stays attached to its order
- CAD design upload and markup, so approvals happen before manufacturing starts
Retailers submit requests through structured forms rather than free-text messages, discuss them in a chat scoped to that order, and mark up CAD designs directly before anything reaches the factory floor. Staff work the same orders from their own portal, against the same record.
The platform cut the operational load on staff and gave retailers visibility they previously had to ask for. Leadership got the capacity to grow the customer base rather than administer it.

Tell us how your operation runs today and where it hurts. We will tell you what the audit would cover and what you would have at the end of it — before you commit to anything.
